For non direct bookings please note that the payment terms and cancellation policy will be as per your booking channel, such as Airbnb, Booking.com and VRBO and please proceed to section 5 of this document
1. Payment
Bookings made within 28 days of your holiday date must be paid for in full at the time of booking. For a booking made more than 28 days before your holiday a deposit of 10% of the total rental due will be paid when booking. The balance will be paid 28 days prior to your holiday, including any damage deposit. In the event that the balance payment is not received by the required date, Great Welsh Escapes Ltd reserves the right to cancel the booking and will be under no obligation to refund any deposits previously paid. Bookings cannot be accepted from persons under 18 years of age. An additional Booking Fee will be applied to bookings, this will vary dependent on the property size.
2. Damage Deposits
A pre-authorization of between £0-£200 depending on the property, is due 24 hours before arrival and released 7 days after departure
3. Cancellations & Changes to Bookings
Your Booking channel policy applies if you have booked through Airbnb, VRBO and Booking.com.
Great Welsh Escapes direct booking cancellation policy
For direct booking, In the event of cancellation then the 10% deposit is non refundable. After the full balance is paid 28 days before arrival, 50% of any prepayment is refundable. For cancellations within 14 days of the arrival date, there is no amount refunded. Any booking fee charged is non refundable regardless of when cancelled.
If you need to make any changes to your booking two months or more prior to the first day of the property hire period, including date and/or property changes, we will use reasonable endeavours to accommodate such changes but this is strictly subject to availability and if we are not able to accommodate your requested changes, your original booking will remain in effect.
4. Booking Contract
The Contract of Hire shall be between the Hirer and the Property Owner and subject to these Terms and Conditions of Hire. Great Welsh Escapes Ltd cannot accept responsibility for any problems that may arise with the property and all legal responsibility remains with the Property Owner. Neither Great Welsh Escapes Ltd nor the Owner will have any liability whatsoever for any personal injury, or liabilities, costs, expenses, damages, claims and losses relating to you, your party or any personal property. Great Welsh Escapes Ltd is responsible for administering your booking but at all times acts as an agent under the direction and control of the Owner. Any involvement in the day-to-day management of any property is undertaken solely on the Owner’s behalf and under his/her instructions. Accordingly, Great Welsh Escapes Ltd can accept no responsibility for any problems that may arise with any property and all legal responsibility therefore remains with the Owner. As a condition of the booking you warrant and undertake:
- That all information provided to us, including without limitation all party details, is true and accurate in all respects
- To act promptly and reasonably in respect of any issues arising at the property and to bring these to the attention of Great Welsh Escapes Ltd and/or the Owner
- Not to use the property for any non-residential or non-holiday purpose without the express prior consent of the Owner and/or Great Welsh Escapes Ltd. Additional charges may apply to any alternative uses
- Not to engage in anti-social behaviour and/or criminal activity and to respect other local residents and the locality
- To keep noise at an acceptable level during the property hire period;
- Comply with all arrangements for waste disposal explained in the instructions left at the property, and in any event ensure that all waste is disposed of in an appropriate and hygienic manner
- To comply with all health and safety and fire regulations which may apply to the property and any other written or oral instructions notified to you by Great Welsh Escapes Ltd
5. Description
Great Welsh Escapes Ltd endeavours to ensure that all our properties are correctly represented on our website. It is the hirers responsibility to ensure that they have fully read the description as stated on our website before making a booking. All information is given in good faith and believed to be correct, but Great Welsh Escapes Ltd cannot be held responsible for any errors, or the results of such errors. Great Welsh Escapes Ltd cannot accept liability for events outside of reasonable control, such as breakdown of domestic appliances, plumbing, wiring, sudden temporary invasion of pests, damage resulting from exceptional weather conditions or owner’s negligence resulting in loss, injury or accident.
6. Sleeping Capacity
The maximum number of people (plus one baby) allowed in each property is stated in the description of the property. Extra persons cannot be accommodated. The hirer shall not part with possession of the property or share it, except with members of the party named on the booking form. The owner reserves the right to terminate the hire without notice or refund for a breach of these conditions. The Contract is with the hirer (the person named on the booking confirmation), and all members of their party. Furthermore, all members of your party must accept this Contract and by entering into this Contract you confirm that all such members of your party have read, understood and accepted the terms of the Contract and have authorised you to confirm such acceptance on their behalf.
7. Availability
The hiring contract is made on the understanding that the property and its facilities as published will be available for the dates stated. In the unlikely event that the property is not available through events outside Great Welsh Escapes Ltd or the owners control the hirer will be notified as soon as possible. Great Welsh Escapes Ltd/ the owners will refund all monies paid in full – but the hirer will have no further claims against the owner or Great Welsh Escapes Ltd.
8. Pets
Pets are only allowed where explicitly stated in the description of the property. Pets are charged from £25 extra per stay, and must be added onto the booking at time of pre-check in ( if not added onto the original booking if made via great welsh escapes own website). Guests are to keep any permitted pets under control at all times, not to allow pets into bedrooms or onto furniture, not to leave pets unattended in the property and to be responsible for their pets, including, but not limited to financially responsible for any damage caused or costs incurred by your pets and for cleaning up after your pets in all respects as a result of your pets use of the property, garden and surrounding areas.
9. EV Charging and appliance charging
Under no circumstances are guests allowed to charge electric vehicles at the property, unless there is an allocated EV charger on-site. This also applies to e-bikes and scooters.
No portable electrical appliances are to be brought into the property at any time, this includes things like fans and heated blankets, etc. Any chargers being brought into the property must be from reputable suppliers.
10. Linen
In all properties linen and towels will be provided unless otherwise advised. This will be clearly stated in the description for each property. If there is additional linen stored in the property for future guests, and this is used by you, then additional charges will apply. Please advise before departure if additional linen is used so that great welsh escapes can ensure there is enough supplies available for the next guest. If you know in advance you will require additional linen (such as use of sofa bed) please advise great welsh escapes at least 48 hours before arrival so that this can be organised accordingly. Most of our properties do not provide cot bed linen and guests should bring their own.
11. Vehicles and Personal Belongings
Personal belongings are at the hirer’s risk at all times. No responsibility can be accepted by the owner for loss or damage to any vehicle or its contents parked on the owners property.
12. End of Stay
Although all our properties are thoroughly cleaned on departure, all bookings are accepted on the condition that the property is left clean and tidy i.e. crockery and cutlery is washed up and put back in cupboards and refuse is left as per instructions for each property. Any moved furniture should be returned to its original position. Should any specialist cleaning be required, this will be a cost charged back to the guest. Any dog foul should be cleared, and bagged appropriately. Any breakage or damage will be billed to, and must be paid for, by the person who booked the property. Reasonable cost, for all repairs and replacements of items damaged beyond repair may be required as a result of your occupation of the property. Purchase of replacements directly by you may be permitted provided that damages are notified as soon as possible and at all times whilst you are in occupation and an appropriate replacement is agreed in advance with Great Welsh Escapes Ltd and/or the Owner. General wear and tear will of course be taken into account. Reasonable compensation costs will be required for any damage to the décor or items within, that potentially cause problems for future guests and cancelled bookings as a result.
Guests are requested to leave the property, its contents and facilities in the same state of repair and condition upon vacation as they were at the start of the property hire period.
At the end of the property hire period, guests are to ensure the property is secured and leave the keys in the same place as they were found at the beginning of the property hire period, or as advised on the directions or in the information provided.
Heating controls should be left on the same setting as they were on arrival, and all lights should be switched off on departure.
13. Reviews
All comments left for, or photographs sent to Great Welsh Escapes Ltd or the Owner may be used (free of charge) in any marketing material including web use, unless otherwise requested. The pictures will be credited with the name on the accompanying correspondence where possible. We very much welcome reviews on our various booking sites.
14. Complaints Procedure
In the unlikely event of a problem arising during the property hire period, you must let Great Welsh Escapes Ltd know as soon as possible in order to give us an adequate opportunity to address the complaint. If a problem arises you must contact the name and number provided on your Welcome Letter. No complaint will be accepted after the end of your holiday, where the owner or great welsh escapes has not had the opportunity to investigate and remedy any problems.
15. Factors beyond our control
Neither Great Welsh Escapes Ltd nor the property owner can accept responsibility for factors beyond the owners control, including but not limited to any road works, maintenance or refurbishment works on neighbouring properties, or events such as sporting events, festivals or parties.
16. Default
If guests should fail to comply with the conditions and obligations of this Agreement, Guest shall surrender the Property, remove all Guest’s property and belongings and leave the Property in good order and free of damage. No refund of any portion of the Total Rental Fee shall be made and if any legal action is necessary, the prevailing party shall be entitled to reimbursement from the other party for all costs incurred.
17. Price Changes
Great Welsh Escapes Ltd reserves the right to change any advertised prices due to errors in publishing, or administrative errors.
